Happy New Year for 2011

Happy New Year fellow bloggers and tweeters as this year draws to an end I wish you all health wealth and good fortune and fun for the coming year 2011.
I have had many challenges over 2010 and many memorable moments during my travels.
January was quietish but Feb I popped over to Amsterdam to deliver Excel training to a corporation I have worked with before, this was a good laugh as I had a mixed bunch of Dutch, English, Italian and Belgians on the courses.
My work has taken me far and wide across the UK, only recently down to Stonehenge for a few days work teaching Windows basics and Excel stock order systems.
Many a trek to Milton Keynes now completed I am actually starting to remember the islands !!
Manchester is imprinted on my brain aswell now.
Birmingham sees my company more than most and we are moving offices with one client I work with to new facilities which will be good.

So good luck all and enjoy your PC experiences in 2011.

I can control my iTunes application on my PC and listen to my favourite tracks, search, change the volume, pause, listen to Albums, Podcats, Playlists all via my Apple iPhone.

Within seconds you will be able to crank up your speakers and listen to any of your iTunes Library via the phone.
I can see this developing so with blue tooth speakers downstairs I can easily listen to my favourite music via the iPhone, Awesome !!!

Just set up Skype and tested it out with a landline call, great quality through my speakers and the end user agreed the call was very clear.

I will be testing the video once my contacts accept my Skype requests.

You need the month end dates for a range of dates on invoices, no problem in Excel

Dont forget the World Of Learning Conference is on today and tommorrow at the NEC, Bham and is full of all your favourite IT Training and Development needs.
I shall be there to make new contacts and see what's happening out there in the current world of training.

Many key companies and trainers will need to think of new dynamic approaches to training as the reccession bites and budgets are at rock bottom.

Smart Training is required and cost effective approaches to training your staff.

Courses are being condensed as TIME is a costly asset for Managers, a day out of the office for 2 or 3 delegates is difficult as work demands have doubled and even tripled for our poor IT workers as other staff have been made redundant or have been given other duties to juggle.

PowerPoint Delivery Shortcuts ....

When the pressure is on and you need to deliver the goods during your Presentation don't forget the following shortcut blags :

F5 to run the Presentation, shift F5 to run from current slide in PPT 02 and 03/07

1. Use B or W to Blackout oe Whiteout the screen during talk time or using a whiteboard.
2. Use Spacebar to progress the slides and backspace if someone asks a question and you need to go back to a previous slide.
3. ESC quits the presentation
4. You can use N for next and P for Previous slide
5. dont forget Annotations, right click and choose a pen colour to then write notes on ths slides during delivery and save them at the end of your presentation for further use later !

UAC is a pain in the AC

There you are with your brand spanking new Vista laptop and everything is fine but every time you want to do something a little more “adventurous” the screen dims and you have to click Continue to the security prompt just to run a utility. Its YOUR LAPTOP why keep asking for raised privileges all the time just to run stuff in the Control Panel !

Well with help from the Dummies Guide to Vista ! I managed to switch off this annoying facility, its probably great for users on a network where the stressed out admin guys are sick of users trying to install games and screen savers etc but if its your own machine why have all the extra security ?

Its called UAC, “User Account Control” and it can be disabled for all users via:

Control Panel – Administrative Tools – System Configuration -Tools – Disable UAC
(Requires a reboot unfortunately!)

The Missing Manuals

Hi all,
I have discovered after a lengthly flick through most of the Office books at "Borders" that the missing manuals books are very good. I have purchased Access 2007 and Project 2007 to start with and these say on the front :
"The book that should have been in the box". This is true, it's got a wealth of useful extras, background help, interesting utilities that I have not come across in other manuals. they are written in a nice relaxed style, brave enough to even say when a facility is rubbish or never took off.

Check them out ...


The Access 2007 book covers macros, VB, SQL ,all the basic Objects and Database theory as well.

Creating GRaphical Indicators in MS Project

Hi again
Have a look at my latest posting , below I ahve placed a link to TechTrax website that explains the different types of graphical indicators within Project and how to set them up.
You can have "Traffic Light Indicators" for tasks overbudget or slipping dates, etc and Drop down menus (combo boxes) to allow the end user to only choose from the given list, e.g. Task Name , Dept ( Custom Field) etc.

MS ACCESS - Input mask syntax and examples

Many people struggle with input mask special characters so here is the help file from MS Access:

Valid input mask characters

Microsoft Access interprets characters in the InputMask property definition as shown in the following table. To define a literal character, enter any character other than those shown in the table, including spaces and symbols. To define one of the following characters as a literal character, precede that character with a backslash (\).

Character Description
0 Digit (0 through 9, entry required; plus [+] and minus [-] signs not allowed).
9 Digit or space (entry not required; plus and minus signs not allowed).
# Digit or space (entry not required; blank positions converted to spaces, plus and minus signs allowed).
L Letter (A through Z, entry required).
? Letter (A through Z, entry optional).
A Letter or digit (entry required).
a Letter or digit (entry optional).
& Any character or a space (entry required).
C Any character or a space (entry optional).
. , : ; - / Decimal placeholder and thousands, date, and time separators.
(The actual character used depends on the regional settings
< Causes all characters that follow to be converted to lowercase.
> Causes all characters that follow to be converted to uppercase.
! Causes the input mask (input mask: A format that consists of literal display characters (such as parentheses, periods, and hyphens) and mask characters that specify where data is to be entered as well as what kind of data and how many characters are allowed.) to display from right to left, rather than from left to right. Characters typed into the mask always fill it from left to right. You can include the exclamation point anywhere in the input mask.
\ Causes the character that follows to be displayed as a literal character. Used to display any of the characters listed in this table as literal characters (for example, \A is displayed as just A).

Password
Setting the InputMask property to the word Password creates a password entry text box. Any character typed in the text box is stored as the character but is displayed as an asterisk (*).

Getting data into your Oulook Calendar from EXCEL !!!

I now use this to import my weekly/monthly calendar data across into my Outlook Calendar at home to keep me up to date with my latest whereababouts, thanks to Allister for the loan of this information .....

Another handy way to add appointments to your calendar is by importing from Excel. To do this you first need to create an Excel file containing the appointment information Outlook needs. Your first row should contain columns titles which match Outlook's appointment fields. You don't need many fields to get started, just try the following for a basic import of all day appointments:

Cell A1: Subject
Cell B1: Start Date

Now add the data you'd like to import into your Outlook calendar under each of these column headings, for example: cell A2 could be "Bob's Birthday" and cell B2 could be "11/05/2005"
Now, here's the important bit. Highlight the entire range of cells that you've used (in my example this would be A1:B2) and give this range a name under Insert, Name, Define (or just type into the Name Box just above the top of column A). Outlook needs this range name so it knows where to find the data to import. Save your Excel file and close it.

Now just pop into Outlook and choose File, Import and Export. Then select Import from another program or file, hit Next, then choose Microsoft Excel and hit Next again. Now locate the Excel file you created earlier, hit Next, select your Calendar, press Next again and check that Outlook finds the correct Range Name in your Excel file. Now press Map Custom Fields to verify how Outlook is mapping your Excel column headers to its own Calendar Appointment fields, changing if necessary, then hit OK, then Finish.

If you've done everything right, your Outlook Calendar will now contain the appointments you created in Excel.

There are 22 fields you can import into Outlook in this way. These are: Subject, Start Date, Start Time, End Date, End Time, All day event, Reminder on/off, Reminder Date, Reminder Time, Meeting Organizer, Required Attendees, Optional Attendees, Meeting Resources, Billing Information, Categories, Description, Location, Mileage, Priority, Private, Sensitivity, Show time as.

Top tip: try importing in this way to your Task folder rather than your Calendar. This is a great way to move a list of 'to do' items from Excel or Project directly into your Outlook calendar.

Red RAG to a bull [ Red Amber Green Graphic Indicators]

Hi all
Just done a Project 2003 course and we discovered you can set up graphical indicators for your Project Tasks or overall Project status such as a red dot for Warning, Amber and green dot aswell !

I will document the process in a later Blog, but its a New Custom Field then choose Graphical indicators, when the user selects a drop down option such as R, A or G it uses a graphic instead of text.

A more interactive approach lets you copy a Number column such as Cost or Variance and Paste link it over the top of the indicator column so it keeps changing dependant on the numbers linked to it.
